Q: Can orders be imported to my Accounting System?

A: FairScan can import to most major Australian Accounting Systems (see Accounting Systems for a list of compatible systems). Please note that this isnít the complete list. If your system isnít on the list then contact FairScan to discuss developing a process to have orders imported.

Q: Do I need to install my Accounting System on the laptop at the fair?

A: No. FairScan has been designed to run completely independently to your Accounting Systems. Orders can be emailed back to the office to import or user can import via Remote Access. Many FairScan customers do install a copy of their Accounting System on the laptop and run a Ďread onlyí copy of their data so they can look up customers previous orders.

Q: How will my agents/reps learn how to use the system?

A: Not all of your employees can attend the onsite setup of FairScan at your workplace. Therefore to assist with training of these employees FairScan offers a pre-fair training demonstration at the major fairs. Your employees can attend this training session and learn the basics of using the handhelds.

Q: If I commit today how long does it take to setup FairScan?

A: FairScan is ready to set your business up at short notice although it is recommended to give 4 weeks notice. Please note that time will be limited as the fairs approach.

Q: Can I rent extra handhelds for busy fairs?

A: Yes. Extra handhelds can be rented per fair. Prices start from $150 per handheld per fair. Renting requests should be made at least 1 week before the fair.

Q: I am running two stands at the same time, what can I do?

A: Once purchased your business can install FairScan on as many computers as possible. Therefore you can run FairScan on both stands if you require. FairScan can rent any additional hardware required (handhelds, cradle, laptop etc) with the exception of a printer. This must be organised at least 2 weeks prior to the required fair.

Q: My products donít have barcodes, can I still use FairScan?

A: Yes. It isnít expected that your products already have barcodes. FairScan will create barcodes for your display items and then show you how to do it yourself for next time.

Q: Can I use my existing barcodes that my supplier provides?

A: Yes. In order to use these barcodes you must have the barcode number entered against each item in your Accounting System. This number must then be imported to the handheld so that when it is scanned the handheld knows which item to enter.

Q: Do all my products have to be barcoded by my supplier?

A: No. FairScan will produce barcodes for you sample products.

Q: Do barcodes have to be printed on a special printer?

A: No. FairScan provides software that prints barcodes on a standard printer using A4 sticker sheets. Laser printers are recommended as they print in finer detail over Inkjets.

Q: Can I barcode my products for my customers?

A: Yes. The software that FairScan provides to print barcodes is called BarTender. This software can print any type of barcode. If you wish to provide barcodes for your customers we recommend that you use EAN/GS1 barcode values. This ensures that your customer wonít have any duplicates with your barcodes. Q: Is Annual Support compulsory?

A: Yes. Even computer savvy businesses require assistance from time to time. Annual Support covers all phone and fair support throughout the year. It also includes software updates. Annual Support fees allow FairScan to fully support and attend all of the major fairs in Australia.

Q: I have an agent that has never used a computer; will they be able to use FairScan?

A: Yes, as long as they have an Ďopen mindí towards using a handheld they will be fine. FairScan has made the process of taking an order as easy and as user friendly as possible. Many users will feel reluctant to scan as they think they can write faster. This is true at the start; but as they get used to scanning they will discover they can capture an order faster by scanning. Plus by scanning they are effectively entering the orders into the Accounting System.

Q: What are the main differences between Palm and Pocket PC handhelds?

A: The Pocket PC handhelds are more advanced and therefore include extra feature such as Wireless, colour screen, direct name badge scanning at fair and most importantly better communication options when using on the road. Both handhelds essentially do the same thing which is capture an order and have it imported to an Accounting System. At fairs for example the PPC handhelds allow users to scan name badges once (rather than twice with the Palm handhelds) and then have them downloaded to the laptop without having to put it in the cradle. This is an example of the PPC handhelds performing some tasks more efficiently than the Palm devices.

Q: Can I have a combination of Palm and PPC handhelds?

A: Yes, a combination of handhelds is possible. Many FairScan customers started using Palm handhelds and have since upgraded and introduced extra PPC handhelds. They use a combination of both. If the Palm Application is purchased initially then users must pay for the upgrade to the PPC System. Once upgraded, users can operate both handhelds.

Q: What is the warranty for the hardware you supply?

A: Both New and Refurbished hardware comes with a full 12 month warranty. Whilst under warranty if devices canít be fixed overnight then they are replaced as soon as possible.

Q: What is the benefit of buying Refurbished Hardware?

A: Refurbished hardware saves at least $300 on the cost of handheld. All Refurbished units are tested, cleaned, formatted and guaranteed to work exactly like a new handheld. The only difference between is that the refurbished may have some minor surface marks that donít effect its performance.

Q: Can the same handhelds be used at fairs and on the road?

A: Yes. Reps can use the handhelds on the road and then bring them into the fair to use. This saves on having to have separate units for the road and for the fair.

Q: I already have a laptop; do I need to buy another one?

A: Most likely no, although you need to check with FairScan. Some laptops have features that can conflict with syncing the handhelds. It is recommended that you have a dedicated laptop for FairScan to use at the fairs.

Q: Does FairScan run on Mac computers?

A: Only if Windows is installed on the Mac via Boot Camp, Parallels or similar.

Q: Can I install FairScan on more than one computer?

A: Yes. Many users have FairScan installed on a backup laptop or a 2nd laptop used at a 2nd stand. There are no additional costs to install FairScan on multiple computers.

Q: Why canít existing customers name badges be scanned at a fair?

A: Existing customers must be found on the handheld from the preloaded list so that they import under the correct customer in your Accounting System. By scanning the name badge you are creating a new card each time which will cause duplicates in your System.

Q: Can I lose orders?

A: After every order is taken we recommend you download and print a copy of the order, therefore you have a backup in case something happens to the computer. Users also have the option of backing up the database on a regular basis. If these precautions are followed correctly you will be less likely to lose orders than what you would if they were handwritten.

Q: As a new user what is the biggest problem I can expect to experience using FairScan?

A: Most issues FairScan encounters are due to data not being loaded correctly. FairScan encourages users to scan as many barcodes as possible before a fair starts or before the catalogues are sent to your agents/reps. By doing this you are ensuring that items scan as close to 100% as possible. Preparation and practice are very important with using the system, particularly for new users.

Q: What doesnít FairScan cover/assist with?

A: FairScan doesnít assist with data entry. It is expected that your Item list is up to date and includes all items that you wish to sell. Failure to have an item entered in your Accounting System will result in that item not scanning. FairScan also isnít responsible for consumables such as printer ink/toner (we donít carry spares), and isnít responsible for sending orders back to your office on your behalf. FairScan can give advice and recommendations on these points.
